The Service Manager is responsible for leading the maintenance team and overseeing all aspects of property maintenance, including work order completion, unit turnover, asset preservation, and curb appeal. This role ensures that all tasks are executed safely, efficiently, and in line with Rutherford's high standards and safety policies.

Key Responsibilities

  • Supervise and coordinate daily maintenance operations, including work order distribution, turnover scheduling, and general upkeep.

  • Lead asset preservation initiatives through scheduled inspections (1/12th audits, risk walks, curb appeal reviews) and proactive planning for future maintenance and capital needs.

  • Ensure all vacant units are turned within 3-5 days, with zero defects as the standard.

  • Respond to and resolve service requests promptly, delegating appropriately and following through to completion.

  • Partner with Community Manager to align maintenance schedules with leasing timelines and ensure unit availability.

  • Assist in the annual budgeting process, including vendor selection and capital improvement planning.

  • Maintain property safety and cleanliness standards, including participating in grounds clean-up as needed.

  • Maintain accurate capital expense records in the Facilities database for warranty tracking and long-term planning.

  • Manage maintenance expenses within budget and investor expectations.

  • Train, coach, and support maintenance staff while fostering a positive, collaborative team environment.

  • Participate in the on-call emergency rotation.

  • Report property conditions or safety issues that may present liability risks.

  • Ensure compliance with all Fair Housing laws and ethical business practices.

  • Complete special projects and assigned tasks as needed.

Qualifications

  • Minimum 5 years of maintenance experience, with at least 1 year in a supervisory role preferred.

  • HVAC certification or related technical certification required.

  • Strong organizational and time-management skills.

  • Excellent verbal, written, and interpersonal communication.

  • Proficiency in Microsoft Office and intermediate computer skills.

  • Valid driver's license and reliable transportation (required for multi-site responsibilities and errands).

  • Experience with maintenance supply procurement and contractor coordination a plus.

Working Hours & Travel

  • Regular hours: Monday through Friday, 8:00 AM - 5:00 PM

  • Must be available for after-hours on-call emergencies.

  • Flexibility required during lease-ups, budget season, capital projects, or major turnover periods.

  • Travel between properties and to company meetings, trainings, and events is required.
